Eccovia, hereafter referred to as “Eccovia,”  “We,” or “Our,” recognizes the importance of protecting the personal information collected from you in the operation of its services and taking reasonable steps to maintain the confidentiality, integrity, and privacy of any information in accordance with this Privacy Policy.

This Privacy Policy will be updated with any changes to the purposes of personal information processing.

Eccovia will obtain consent for the collection, use, retention, and disclosure of your personal information for purposes of marketing communications and will communicate notice of choices available to you.
Eccovia may collect personal information about you in the following ways:
  • Through website contact forms
  • Directly from your verbal or written input (such as by consenting to receive marketing emails)
  • Automatically through Eccovia’s website technologies including tracking online, such as by web cookies, by smart devices, by combining data sets, by collecting data from a browser or device for use on a different computer or device, or by using algorithms to analyze a variety of data such as online behavioral data, or location data
  • On Visitor Access Logs (if visiting our premises)
  • On closed-circuit television (if visiting our premises)
Marketing Subscription & Communications Management
You can exercise your right to prevent such processing by checking certain boxes on the consent forms we use when collecting your personal information. If at any point you wish to review or change your preferences, you can use the “opt-out,” unsubscribe mechanism, or other means provided within the communications that you receive from us. In order to access certain content and to make use of additional functionality and features of Eccovia’s websites and services, we may ask you to register for an account by completing and submitting a registration form, which may request additional information.

If you choose to register and sign in by using a third-party account (such as your Facebook account), the authentication of your login is handled by the third party, and any personal information collected during that third-party login is not covered by Eccovia’s Privacy Policy. Eccovia will collect your name, email address, and any other information about your third-party account that you agree to share with us at the time you give permission for your Eccovia account to be linked to your third-party account.
As is true of most websites, we gather certain information automatically. This information may include IP addresses, browser type, Internet service provider (“ISP”), referring/exit pages, the files viewed on our site (e.g., HTML pages, graphics, etc.), operating system, date/time stamp, and/or clickstream data to analyze trends in the aggregate and administer the site.

Eccovia and its partners use cookies or similar technologies to analyze trends, administer the website, track users’ movements around the website, and gather demographic information about our user base. You can control the use of cookies through our cookie banner or at the individual browser level, but if you choose to disable cookies, it may limit your use of certain features or functions on our website or services.

Eccovia may receive information about you if you use any of the websites we operate or the other services we provide. We also work closely with third parties (including, for example, business partners and sub-contractors in technical, payment, and delivery services; advertising networks; data and analytics providers; academic institutions; journal owners, societies, and similar organizations; search information providers, and credit reference agencies) from whom Eccovia may receive information about you.
Eccovia may use third party systems to facilitate business operations that store your personal information. Eccovia will perform due diligence on these third-party systems in accordance with the Vendor Management Policy.
Eccovia may use your personal information in the performance of any contract into which we enter with you, to comply with legal obligations, or where Eccovia has a legitimate business interest in using your information to enhance the services and products we provide.

Where applicable under your local laws, we will not use your personal information for marketing purposes, nor disclose your information to any third parties, unless we have your explicit prior consent, which we will seek before collecting your personal information.

Legitimate business purposes for collection and use of your personal information may include but are not limited to one or all of the following:
  • Providing direct marketing and assessing the effectiveness of promotions and advertising
  • Modifying, improving, or personalizing our services, products, and communications
  • Detecting fraud
  • Investigating suspicious activity and otherwise keeping our site safe and secure, and conducting data analytics.
In addition, with your prior, explicit consent (where required), we may use your information in the following ways:
  • To provide you with information about products and services that you request from us
  • To provide you with information about other products, events, and services we offer that are either like those you have already purchased or inquired about, or are entirely new products, events, and services

Personal information will not be kept longer than is necessary for the purpose for which it was collected. This means that, unless information must be retained for legal or archival purposes, personal information will be securely destroyed, put beyond use or erased from Eccovia’s systems when it is no longer required or, where applicable, following a request from you to destroy or erase your personal information in accordance with the Media Sanitization and Disposal Policy.
Eccovia will disclose personal information to third parties only for the purposes for which it was collected or created and only when implicit or explicit consent has been obtained from the individual unless a law or regulation specifically requires otherwise or required for performance of contract. Eccovia will not disclose personal information to third parties for new purposes or uses, unless with the prior implicit or explicit consent of the individual.

Eccovia will not disclose to or share your personal information with any unaffiliated third party except as follows:
  • Where necessary in connection with services provided by third parties who provide us with office, administrative, information technology, production, payment, business management, or marketing services
  • Where you voluntarily provide information in response to an advertisement from a third party
  • Where a third party, such as an academic institution, school, employer, business, or other entity which has provided you with access to a Eccovia product or service through an integration or access code, information may be shared regarding your engagement with the service or product, results of assessments taken, and other information you input into the product or service
  • Where you participate in a program in which we partner with third parties, we may share your information with those third-party partners
  • Where Eccovia is required to disclose personal information in response to lawful requests by public authorities and government agencies, including to meet national security or law enforcement requirements; to comply with a subpoena or other legal process; when we believe in good faith that disclosure is necessary to protect our rights, to enforce our Terms of Service, or to protect the rights, property or safety of our services, users or others; and to investigate fraud
  • Where all, or substantially all, the business or assets of Eccovia relating to our services are sold, assigned, or transferred to another entity
  • Where Eccovia’s rights to publish, market, and/or distribute a specific journal or other publication are transferred to another entity, and you have subscribed to or requested to receive electronic alerts related to that journal or Eccovia
  • Where you have subscribed to journals, elected to receive electronic alerts about journals, or your contribution to one of our journals has been accepted for publication, we may share your information with the journal owner or society, or organization associated with the journal
  • Where you have attended an event, webinar, or conference, we may share your information with the sponsor of the activity
  • Where, even if not described above, you have consented to such disclosure or Eccovia has a legitimate interest in making the disclosure
If necessary, in connection with providing publishing services on behalf of third parties, such as institutions and societies, Eccovia may disclose navigational and transactional information in the form of anonymous, aggregate usage statistics and demographic information that does not reveal your identity or personal information.
Eccovia will not knowingly market to, collect, or store any personal information from individuals under the age of 16, unless authorized by parent or guardian. By submitting your information to Eccovia, you consent to the practices described in this policy. If you are less than 16 years of age, you must first seek the consent of your parent or guardian prior to submitting any personal information to Eccovia.
Eccovia personnel will be trained on the importance of maintaining the confidentiality, integrity, and security of your personal information and will use appropriate physical, technical, and administrative safeguards to protect your personal information.

Access to your personal information will be restricted to only those who need to know that information and is required to perform their job function(s).
Eccovia will take remedial action in response to misuse of personal information by a third party to whom Eccovia has transferred such information. In the event of a security incident or breach, Eccovia will provide notice to affected individuals and regulators in accordance with relevant laws and regulations.
You are responsible for providing Eccovia with accurate and complete personal information, and for contacting us if correction of personal information is required.

Eccovia will only process your personal information in a way that is compatible with and relevant for the purpose for which it was collected or authorized by you. To the extent necessary for those purposes, Eccovia will take reasonable steps to ensure that personal information is collected and maintained so that it is accurate, complete, current, and reliable for its intended use.
Eccovia will retain your personal information for no longer than necessary to fulfill the stated purposes of collection unless a law or regulation specifically requires otherwise.

Eccovia will anonymize, delete, destroy, and/or remove personal information from our systems once it is no longer required for the purposes for which it was collected.
Eccovia may be required to disclose an individual’s personal information in response to a lawful request by public authorities, including to meet national security or law enforcement requirements.
Eccovia complies with the EU-U.S. Privacy Shield Framework and the Swiss-U.S. Privacy Shield Frameworks as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information transferred from the European Union and Switzerland to the United States. Eccovia has certified to the Department of Commerce that it adheres to the Privacy Shield Principles. If there is any conflict between the terms in this privacy policy and the Privacy Shield Principles, the Privacy Shield Principles shall govern. Eccovia is committed to honoring your privacy rights, as outlined below. You have the right to make a written request (through mail or email) to exercise your privacy rights at any time relating to the personal information that we collect and maintain about you.

If you seek to exercise your privacy rights, please submit your request to Eccovia Privacy. Eccovia is committed to resolving any inquires or complaints about our collection or use of your personal information, and as such, will respond to your privacy request within 30 days of receipt.

Right to be Informed
Eccovia will, upon request, provide the details of your personal information that we process, the purpose(s) for which your personal information is processed, and the recipients of your personal information.

Right of Access to Personal Information
Eccovia will, upon request, allow you to access your personal information that we have collected. Personal information will be provided to you in an easy-to-read format, in a reasonable timeframe, and at a reasonable cost, if any. Requests for personal information that is controlled by Eccovia customers will be forwarded to the customer privacy designate.

Right to Rectification of Personal Information
Eccovia will, upon request, allow you to rectify inaccurate or incomplete personal information held and controlled by Eccovia. If practical and economically feasible to do so, we shall provide such rectified information to third parties that previously were provided with your personal information.

Right to Erasure of Personal Information (Right to be Forgotten)
Eccovia will, upon request, allow you to have your personal information deleted from Eccovia systems if continued processing of such information is no longer justified, except where the burden or expense of fulfilling this request would be disproportionate to the risks to your privacy or where the rights of persons other than you would be violated.

Right to Restrict Processing
Eccovia will, upon request, allow you to request that we restrict or cease processing of your personal information.

Right to Data Portability
Eccovia will, upon request, allow you to request that we move, copy, or transfer your personal information from Eccovia systems to another system of your choosing, using a secure method.

Right to Object
Eccovia will, upon request, allow you the right to object to automated decision-making and profiling based on legitimate interests or the performance of a task in the public interest (in which event the processing will cease except where there are compelling legitimate grounds, such as when the processing is necessary for the performance of a contract between us), the right to object to direct marketing from us, and the right to object to processing for purposes of scientific, historical research, and statistics.

Rights in Relation to Automated Decision Making and Profiling
Eccovia will only utilize automated decision making and profiling when necessary for performance of contract, authorized by law, or permitted by your explicit consent. Eccovia will, upon request, allow you to request information related to automated decisions and profiling performed by Eccovia and will allow you to request human intervention or the opportunity to challenge decisions made.

Confirmation of Identity
Eccovia will validate the identity of individuals who request access to their personal information before they are given access to that information.

Denial of Access to Personal Information
In the event Eccovia denies you access to or rectification of your personal information, a reason for denial will be provided in writing within a timely manner, unless prohibited by law or regulation. Additionally, Eccovia will perform the due diligence necessary to source the legal right to deny such access, if applicable. When permitted or required by law or regulation, you may have the right to challenge Eccovia’s denial of access.
Eccovia will implement self-assessment and monitoring to ensure compliance with this Privacy Policy and periodically verify that the notice is accurate, comprehensive for the information intended to be covered, prominently displayed, completely implemented and accessible. We encourage interested individuals to raise any concerns using the contact information provided and we will investigate and attempt to resolve any concerns, complaints, and disputes regarding use and disclosure of personal information. If a complaint or dispute cannot be resolved through our internal process, we agree to dispute resolution using (an independent resource mechanism) as a third-party resolution provider.
Eccovia’s Privacy Policy is reviewed and updated periodically. Any changes to the Privacy Policy will be posted internally in the Corporate Compliance Library. Additionally, Eccovia will post an External Privacy Notice on its website, which will become effective on the date of posting.
